These Terms and Conditions (the “Terms”) apply to HOOKED! National (the “Exhibition” or “Event”), organised by Elevate Exhibitions Ltd (“the Organisers”, “we”, “us”, “our”).
By purchasing a ticket, completing an exhibitor booking, or entering the Venue, you (the “Attendee”, “Exhibitor” or “you”) agree to these Terms.
1. Definitions
“Attendee” means any person admitted to the Event, including ticket holders, Exhibitors, exhibitor staff, contractors, press, sponsors and guests.
“Exhibition” means HOOKED! National 2027, including all build, open and breakdown days at the Venue.
“Exhibitor” means any person, company or organisation to whom space at the Exhibition has been allocated by the Organisers.
“Organisers” means Elevate Exhibitions Ltd.
“Venue” means Stafford County Showground, Bingley Hall and Ingestre Suite, Weston Road, Stafford, ST18 0BD.
“Website” means www.hookednationalfishingfestival.co.uk.
2. Right to Change the Event
2.1We reserve the right, at our discretion and without prior notice, to alter, vary, substitute, withdraw, postpone or change any aspect of the Event, including but not limited to:
2.1.1the programme of attractions, demonstrations, competitions, performances, talks, seminars and presenters;
2.1.2the line-up, content, schedule or running order of the Reel Talk LIVE stage, the Angling Skills Arena, On The Bank, Beginners Bay, the Careers Hub, the Club Hub or any other feature zone or activity area;
2.1.3the layout, floor plan, hall allocation, signage and physical configuration of the Venue;
2.1.4the opening and closing times, session times and last admission times;
2.1.5any catering, retail, charity, prize draw, golden ticket, festival passport or feedback offering published in marketing materials, the Show Guide or on the Website.
2.2Marketing materials, the Show Guide, the Website, social media posts, press releases, line-ups, schedules and timetables are issued in good faith and are indicative only. They do not form part of any contract between us and the Attendee or Exhibitor.
2.3Where reasonably practicable we will publish material changes on the Website and/or via official Event channels. Failure or delay in doing so does not invalidate any change.
2.4No refund or compensation is due by reason of any change made under this clause 2, save where the Event is cancelled in full and clause 9 applies.
3. Tickets
Tickets to the Event are sold by See Tickets. The purchase, refund, exchange and resale of tickets are governed by See Tickets’ own terms and conditions, available at https://www.seetickets.com/content/terms-and-conditions. Children under 13 are admitted free but must be accompanied at all times by a responsible adult aged 18 or over who holds a valid ticket.
4. On-site Conduct
Attendees must follow the reasonable instructions of Event staff, stewards, security personnel and the Venue, and must comply with all applicable health, safety and statutory requirements. We reserve the right to refuse admission to, or remove from the Venue without refund, any person whose conduct we reasonably consider to be unsafe, abusive, threatening or disruptive, or who fails to comply with these Terms or the Venue’s rules.
5. Photography, Filming and Media
5.1By entering the Venue, Attendees acknowledge that the Event will be photographed, filmed, recorded and live-streamed by us, our media partners (including Bauer Media, Hunter Media and Angling Times) and accredited press and content creators, and that they may appear in such recordings.
5.2Attendees grant us a perpetual, royalty-free, worldwide licence to use any such image, footage or recording for any purpose connected with the Event or the promotion of future events.
5.3Personal photography and filming using handheld devices is welcome. Use of professional equipment, tripods, lighting rigs and external microphones is restricted to accredited press and content creators. Commercial use, sale, broadcast or publication of footage captured at the Event requires prior written accreditation from us.
6. Exhibitor Terms
Clauses 6 to 8 apply in addition to these Terms in respect of any party that has made an exhibitor booking. In the event of conflict between these Terms and any signed Exhibition Stand Contract or Booking Form, the signed contract or booking form prevails.
6.1Application for stand space must be made on the Exhibition Stand Contract for HOOKED! National. Applications will be dealt with in order of receipt.
6.2The submission of an application, together with the allocation by the Organisers and the acceptance by the Exhibitor of stand space, shall be deemed to be a contract on these Terms and Conditions.
6.3The Organisers reserve the right to refuse any application. The Exhibition Stand Contract must list all firms being represented by the Exhibitor.
Charges for Space Only and Shell Scheme
6.4The SHELL SCHEME package will be charged at £100 per square metre plus VAT at 20%. The package comprises: shell scheme stand rental, carpet, company name board, show guide listing and event website listing. This DOES NOT include extras such as electric, furniture or lighting.
6.5The SPACE ONLY package will be charged at £80 per square metre plus VAT at 20%. The package comprises: bare floor space, show guide listing and event website listing. This DOES NOT include extras such as carpet, electric, furniture or lighting.
Payment for Stand Space
6.6There are two options available for payment:
(A)PAYMENT IN FULL: The Exhibitor shall pay the full amount including VAT at 20% by BACS transfer on receipt of the invoice.
(B)DEPOSIT AND BALANCE: The Exhibitor shall pay a deposit of 20% towards the total cost plus VAT on receipt of invoice. The remaining balance must be paid by 1st June 2027. An invoice for the balance will be issued on 1st May 2027.
6.7Stands booked after 1st June 2027 must make payment of 100% of the total cost on receipt of invoice. All payments must be made by BACS to Elevate Exhibitions Ltd. The Exhibitor must use the invoice number as the payment reference.
6.8Time for payment is of the essence. We reserve the right to charge interest on overdue sums at 4% above the Bank of England base rate, accruing daily. Where any sum is unpaid by the date of the Event, we may refuse access to the Venue, withhold the booking, re-allocate the stand space and retain all sums already paid.
Cancellation or Reduction
6.9If the Exhibitor cancels its booking or reduces its contracted space, cancellation charges will apply as follows, calculated against the total contract value:
6.9.1cancellation within 12 months of the Event: 50% of total space contracted;
6.9.2cancellation within 6 months of the Event: 75% of total space contracted;
6.9.3cancellation within 3 months of the Event: 100% of total space contracted.
6.10We will endeavour to re-let the cancelled space but if unable to do so, the Exhibitor remains liable for the full charge. All cancellations must be received in writing. The cancellation date is the date the written notice is received.
Layout and Stand Allocation
6.11We may vary the Venue layout where, in our opinion, this is in the general interest of the Exhibition.
6.12We reserve the right, at our discretion, to revise the layout and to re-allocate an Exhibitor to another site. No compensation is due for any such change.
Bankruptcy or Liquidation
6.13If an Exhibitor becomes bankrupt or enters liquidation, we may treat the contract as terminated and re-allocate the stand space.
Build-up and Breakdown
6.14Build-up of stands is permitted only during the following periods:
(a)Space Only: Thursday 16th September 2027, 09:00–20:00.
(b)Shell Scheme: Thursday 16th September 2027, 14:00–20:00 (early access); Friday 17th September 2027, 08:00–20:00.
(c)Outdoor Exhibits: Friday 17th September 2027, 08:00–20:00.
6.15All stands must be completely removed during 17:15 to 22:00 on Sunday 19th September 2027. No Exhibitor may remove any items before 17:15 on Sunday 19th September 2027.
6.16The Exhibitor is responsible for any penalties imposed by Stafford County Showground, or any other losses and costs incurred by us, as a result of failing to vacate the premises by the agreed time.
Sub-letting
6.17Sub-letting or licensing the use of stand space is not permitted, except where the Exhibitor is the sole UK selling agent or express written permission has been obtained from us.
Stand Conduct and the Exhibitor Manual
6.18The Exhibitor shall: (a) build, occupy and remove its stand strictly within the timetable set out at clauses 6.14 and 6.15; (b) operate its stand throughout all open hours; (c) keep its stand staffed by suitably trained personnel; (d) ensure its stand and activities comply with all applicable laws, regulations and the Venue’s rules; and (e) comply with the Exhibitor Manual issued by us, which forms part of these Terms.
6.19The Exhibitor shall not: (a) carry out any activity outside the boundary of its allocated stand; (b) use audio, lighting or visual equipment at a level that interferes with neighbouring stands; (c) display or distribute any material we consider offensive, defamatory, infringing or contrary to the Event’s values; or (d) sell, distribute or display live bait, live fish, alcohol, tobacco, weapons or any other restricted goods without prior written consent.
6.20The Exhibitor must collect all exhibitor passes and badges on arrival in accordance with the procedure set out in the Exhibitor Manual. Badges remain our property and must be presented on demand. Exhibitor lanyards must be worn at all times.
6.21All electrical installations must comply with the Electricity at Work Regulations 1989. All labour engaged by the Exhibitor must comply with relevant industry agreements. We will provide site security but shall be under no liability for loss or damage.
7. Exhibitor Insurance and Indemnity
7.1The Exhibitor warrants that it holds, and shall maintain throughout the build, open and breakdown days, public liability insurance with a limit of not less than £5,000,000 (five million pounds) per occurrence, together with employer’s liability insurance where required by law and product liability insurance where appropriate. Evidence of cover must be produced on request.
7.2We do not accept responsibility for any loss or damage to Exhibitor property. The Exhibitor shall adequately insure all property on a full All Risks basis.
7.3The Exhibitor shall indemnify us, the Venue and our officers, employees, agents and contractors against all claims, losses, damages, costs and expenses arising directly or indirectly from any act, omission, breach of these Terms or breach of statutory duty by the Exhibitor or its staff, contractors, agents or invitees.
8. Sponsorship and Intellectual Property
8.1Sponsorship of feature zones (including but not limited to Reel Talk LIVE, the Angling Skills Arena, On The Bank, and Beginners Bay) is subject to a separate written sponsorship agreement. We reserve the right to alter, rebrand, rename, relocate or discontinue any feature zone in accordance with clause 2.
8.2Sponsorship rights are exclusive only to the extent expressly stated in the relevant sponsorship agreement. We do not grant category exclusivity by implication.
8.3The Exhibitor warrants that all materials, branding, products, displays, demonstrations, music and content used at its stand do not infringe any third party’s intellectual property rights and that it holds all necessary licences, including PRS for Music and PPL where applicable.
8.4All trade marks, logos, names, branding, copy, photography, video, design assets, the Show Guide, signage, the Website and all other intellectual property associated with HOOKED! National are owned by us or our licensors. Unauthorised use of the HOOKED! National name, logo or branding, including in marketing, signage, social media, ambush marketing or merchandise, is strictly prohibited.
9. Cancellation, Postponement and Force Majeure
9.1If the Event is cancelled in full by us for reasons other than a Force Majeure Event, ticket holders should refer to See Tickets in the first instance regarding refunds. Booking fees, transaction charges, travel costs, accommodation costs and any other consequential losses are non-refundable.
9.2A “Force Majeure Event” means any event beyond our reasonable control, including but not limited to: acts of God; severe weather; flood; fire; storm; pandemic, epidemic or notifiable disease; government, regulatory or public-health restriction; act of terrorism, war or civil unrest; strike or industrial action; failure of utilities; venue closure or unavailability; or any other comparable cause.
9.3Where the Event is cancelled, postponed, shortened or otherwise affected by a Force Majeure Event, we shall not be liable for any refund, compensation or loss of any kind, save that we may at our discretion offer a partial refund, credit or transfer of tickets, the terms of which shall be final.
9.4Exhibitors acknowledge that they bear their own commercial risk in respect of Force Majeure Events and are strongly advised to maintain appropriate event-cancellation insurance. No refund of stand fees, sponsorship fees or other Exhibitor charges is due in the event of a Force Majeure Event.
10. Data Protection
We process personal data in accordance with the UK GDPR, the Data Protection Act 2018 and our Privacy Notice published on the Website. Marketing communications from us and Event partners are sent only on the basis of opt-in consent and may be withdrawn at any time.
11. General
11.1These Terms constitute the entire agreement between the parties in respect of the Event and supersede all prior representations and understandings.
11.2If any provision of these Terms is held to be invalid or unenforceable, the remaining provisions shall continue in full force and effect.
11.3We may update these Terms from time to time. The version published on the Website at the date of ticket purchase or booking acceptance shall apply.
11.4These Terms are governed by the laws of England and Wales, and the parties submit to the exclusive jurisdiction of the courts of England and Wales.
12. Our Liability
Nothing in these Terms limits or excludes our liability for death or personal injury caused by our negligence, fraud, or any other liability that cannot lawfully be excluded. Subject to that, our total liability to any Attendee is limited to the face value of their ticket, and our total liability to any Exhibitor is limited to the fees paid by that Exhibitor to us in the 6 months before the claim arose.
