× HOOKED! National 2027 Exhibitor Terms and Conditions 1. DEFINITIONS In these Terms: "Exhibitor" means the person, company, firm or other organisation to whom space at the Exhibition has been allocated by the Organisers, including their employees, servants or agents. "Exhibition" or "Event" means HOOKED! National 2027. "Organisers" means Elevate Exhibitions Ltd. "Venue" means Stafford County Showground, Bingley Hall and Ingestre Suite, Weston Road, Stafford, ST18 0BD.
2. APPLICATION FOR STAND SPACE Application for stand space must be made on the Exhibition Stand Contract for HOOKED! National. Applications will be dealt with in order of receipt. The submission of an application, together with the allocation by the Organisers and the acceptance by the Exhibitor of stand space, shall be deemed to be a contract on these Terms. The Organisers reserve the right to refuse any application. The Exhibition Stand Contract must list all firms being represented by the Exhibitor.
3. CHARGES FOR SPACE ONLY AND SHELL SCHEME a) The SHELL SCHEME package is charged at GBP 100 per square metre plus VAT at 20%. The package comprises: shell scheme stand rental, carpet, company name board, show guide listing and event website listing. This DOES NOT include extras such as electric, furniture or lighting. b) The SPACE ONLY package is charged at GBP 80 per square metre plus VAT at 20%. The package comprises: bare floor space, show guide listing and event website listing. This DOES NOT include extras such as carpet, electric, furniture or lighting.
4. PAYMENT FOR STAND SPACE Three payment options are available: A) PAYMENT IN FULL: the Exhibitor pays the full amount including VAT at 20% by BACS on receipt of invoice. B) 50% DEPOSIT AND 50% BALANCE: the Exhibitor pays a 50% deposit plus VAT on receipt of invoice. The remaining 50% balance must be paid by 1st June 2027 (invoice issued 1st May 2027). C) 20% DEPOSIT AND 80% BALANCE: the Exhibitor pays a 20% deposit plus VAT on receipt of invoice. The remaining 80% balance must be paid by 1st June 2027 (invoice issued 1st May 2027). The Exhibitor's payment preference is indicated on application but is not binding on the Organisers, who reserve the right to require payment in full at their discretion. Stands booked after 1st June 2027 must pay 100% of the total cost on receipt of invoice. All payments must be made by BACS to Elevate Exhibitions Ltd, using the invoice number as the payment reference. Time for payment is of the essence. The Organisers reserve the right to charge interest on overdue sums at 4% above the Bank of England base rate, accruing daily. Where any sum is unpaid by the date of the Event, the Organisers may refuse access to the Venue, withhold the booking, re-allocate the stand space and retain all sums already paid.
5. LIVE PROGRAMME APPLICATIONS Applications to participate in the HOOKED! Live Programme (including Reel Talk Stage sessions, Angling Skills Arena sessions, and On The Bank Meet & Connect sessions) are provisional only. Sessions are curated by the Organisers and are subject to approval based on quality, relevance, and value for visitors. No contract for a Live Programme slot is formed, and no charge is payable, until the Organisers have confirmed approval in writing and issued a formal invoice. The Organisers reserve the right to decline any application without obligation.
6. CANCELLATION OR REDUCTION If the Exhibitor cancels its booking or reduces its contracted space, cancellation charges apply, calculated against total contract value: cancellation within 12 months of the Event: 50%; within 6 months: 75%; within 3 months: 100%. The Organisers will endeavour to re-let the cancelled space but if unable to do so, the Exhibitor remains liable for the full charge. All cancellations must be received in writing. The cancellation date is the date the written notice is received.
7. RIGHT TO CHANGE THE EVENT The Organisers reserve the right, at their discretion and without prior notice, to alter, vary, substitute, withdraw, postpone or change any aspect of the Event, including the programme of attractions, demonstrations, competitions, performances, talks, seminars and presenters; the line-up, content and schedule of any feature zone (including Reel Talk LIVE, the Angling Skills Arena, On The Bank, Beginners Bay, the Careers Hub and the Club Hub); the layout, floor plan, hall allocation, signage and physical configuration of the Venue; opening and closing times; and any catering, retail, charity or feature offering published in marketing materials, the Show Guide or on the Website. Marketing materials, the Show Guide, the Website, social media, line-ups, schedules and timetables are issued in good faith and are indicative only. They do not form part of any contract. No refund or compensation is due by reason of any change made under this clause, save where the Event is cancelled in full and clause 17 applies.
8. ALTERATION TO STAND SPACE AND REVISION OF LAYOUT The Organisers may vary the Venue layout where, in their opinion, this is in the general interest of the Exhibition. The Organisers reserve the right, at their discretion, to revise the layout and to re-allocate an Exhibitor to another site. No compensation is due for any such change.
9. BANKRUPTCY OR LIQUIDATION If an Exhibitor becomes bankrupt or enters liquidation, the Organisers may treat the contract as terminated and re-allocate the stand space.
10. BUILD-UP OF STAND SPACE Build-up of stands is permitted only during the following periods: a) Space Only: Thursday 16th September 2027, 09:00-20:00. b) Shell Scheme: Thursday 16th September 2027, 14:00-20:00 (early access); Friday 17th September 2027, 08:00-20:00. c) Outdoor Exhibits: Friday 17th September 2027, 08:00-20:00.
11. REMOVAL OF STAND AND FAILURE TO VACATE All stands must be completely removed during 17:15 to 22:00 on Sunday 19th September 2027. No Exhibitor may remove any items before 17:15 on Sunday 19th September 2027. The Exhibitor is fully responsible for any penalties imposed by Stafford County Showground, or any other losses and costs incurred by the Organisers, as a result of failing to vacate the premises by the agreed time.
12. SUB-LETTING Sub-letting or licensing the use of stand space is not permitted, except where the Exhibitor is the sole UK selling agent or express written permission has been obtained from the Organisers.
13. STAND CONDUCT AND THE EXHIBITOR MANUAL The Exhibitor shall: a) build, occupy and remove its stand strictly within the timetable set out at clauses 10 and 11; b) operate its stand throughout all open hours; c) keep its stand staffed by suitably trained personnel; d) ensure its stand and activities comply with all applicable laws, regulations and the Venue's rules; and e) comply with the Exhibitor Manual issued by the Organisers, which forms part of these Terms. The Exhibitor shall not: a) carry out any activity outside the boundary of its allocated stand; b) use audio, lighting or visual equipment at a level that interferes with neighbouring stands; c) display or distribute any material the Organisers consider offensive, defamatory, infringing or contrary to the Event's values; or d) sell, distribute or display live bait, live fish, alcohol, tobacco, weapons or any other restricted goods without prior written consent. The Exhibitor must collect all exhibitor passes and badges on arrival in accordance with the procedure set out in the Exhibitor Manual. Badges remain the Organisers' property and must be presented on demand. Exhibitor lanyards must be worn at all times.
14. EXHIBITOR INSURANCE AND INDEMNITY The Exhibitor warrants that it holds, and shall maintain throughout the build, open and breakdown days, public liability insurance with a limit of not less than GBP 5,000,000 (five million pounds) per occurrence, together with employer's liability insurance where required by law and product liability insurance where appropriate. Evidence of cover must be produced on request. The Organisers do not accept responsibility for any loss or damage to Exhibitor property. The Exhibitor shall adequately insure all property on a full All Risks basis. The Exhibitor shall indemnify and keep indemnified the Organisers, the Venue and their officers, employees, agents and contractors against all claims, losses, damages, costs and expenses (including legal costs on an indemnity basis) arising directly or indirectly from any act, omission, breach of these Terms or breach of statutory duty by the Exhibitor or its staff, contractors, agents or invitees.
15. LABOUR, ELECTRICAL AND SECURITY All labour engaged by the Exhibitor must comply with relevant industry agreements. All electrical installations must comply with the Electricity at Work Regulations 1989. The Organisers will provide site security but shall be under no liability for loss or damage. Technical information and order forms for services will be available once full payment has been received.
16. SPONSORSHIP AND INTELLECTUAL PROPERTY Sponsorship of feature zones (including but not limited to Reel Talk LIVE, the Angling Skills Arena, On The Bank, and Beginners Bay) is subject to a separate written sponsorship agreement. Sponsorship rights are exclusive only to the extent expressly stated in that agreement; the Organisers do not grant category exclusivity by implication. The Exhibitor warrants that all materials, branding, products, displays, demonstrations, music and content used at its stand do not infringe any third party's intellectual property rights and that it holds all necessary licences, including PRS for Music and PPL where applicable. All trade marks, logos, names, branding, copy, photography, video, design assets, the Show Guide, signage, the Website and all other intellectual property associated with HOOKED! National are owned by the Organisers or their licensors. Unauthorised use of the HOOKED! National name, logo or branding, including in marketing, signage, social media, ambush marketing or merchandise, is strictly prohibited.
17. CANCELLATION, POSTPONEMENT AND FORCE MAJEURE A "Force Majeure Event" means any event beyond the Organisers' reasonable control, including but not limited to: acts of God; severe weather; flood; fire; storm; pandemic, epidemic or notifiable disease; government, regulatory or public-health restriction; act of terrorism, war or civil unrest; strike or industrial action; failure of utilities; venue closure or unavailability; or any other comparable cause. Where the Event is cancelled, postponed, shortened or otherwise affected by a Force Majeure Event, the Organisers shall not be liable for any refund, compensation or loss of any kind. Exhibitors acknowledge that they bear their own commercial risk in respect of Force Majeure Events and are strongly advised to maintain appropriate event-cancellation insurance. No refund of stand fees, sponsorship fees or other Exhibitor charges is due in the event of a Force Majeure Event.
18. OUR LIABILITY Nothing in these Terms limits or excludes the Organisers' liability for death or personal injury caused by their negligence, fraud, or any other liability that cannot lawfully be excluded. Subject to that, the Organisers' total liability to the Exhibitor is limited to the fees paid by the Exhibitor to the Organisers in the 6 months before the claim arose.
19. DATA PROTECTION The Organisers process personal data in accordance with the UK GDPR, the Data Protection Act 2018 and the Privacy Notice published on the Website. Marketing communications from the Organisers, the Angling Trades Association and Event partners are sent only on the basis of opt-in consent and may be withdrawn at any time.
20. GENERAL These Terms constitute the entire agreement between the parties in respect of the Exhibitor's booking and supersede all prior representations and understandings. If any provision of these Terms is held to be invalid or unenforceable, the remaining provisions shall continue in full force and effect. The Organisers may update these Terms from time to time; the version in force at the date of booking acceptance shall apply. These Terms are governed by the laws of England and Wales, and the parties submit to the exclusive jurisdiction of the courts of England and Wales.
